Scope of the Position

The Materials, Purchasing & MRO Administrator will coordinate all incoming raw materials, purchased components, packaging, sub-suppliers, maintenance and outside services to support Manufacturing, Shipping and Facility requirements in accordance with stated policies, procedures and departmental goals.  This position includes coordinating production requirements aligned with sales forecasts. Other tasks include resolving issues pertaining to material defects, invoice discrepancies as well as delivery timelines.

Responsibilities

  • Assist with on time delivery of buy parts and outside processed parts.
  • Coordinate the movement of purchased materials.
  • Compile data from vendor invoices and supporting documents to verify accuracy of billing data and to ensure receipt of items ordered.
  • Compile data to generate weekly, monthly, quarterly and annual reports to be used for cost saving initiatives.
  • Investigate and resolve billing discrepancies or misapplied cash transactions.
  • Review all credit balances, refunds, and adjustments, and apply adjustments and/or corrections to corporate billing records.
  • Interact and negotiate with suppliers.
  • Form payment strategies to make timely A/P payments and mitigate supplier objections.
  • Investigate payment problems while following corporate A/P policies and procedures.
  • Communicate all delays or variances of inbound freight to the appropriate parties.
  • Maintain strict control over inventory levels for production in orde5r to meet internal and external demand of product.
  • Verify receipt data entry from Receivers.
  • Coordinate on receiving into CMS and other databases, as required.
  • Obtain and ensure current MSDS for items purchased are on file at all times.
  • Obtain and ensure valid supplier certifications are on file at all times (ISO/TS/Enviro.14001).
  • File all documentation.
  • Update Supplier ratings, supplier manual rate and delivery.
  • Additional duties as required.

Qualifications

  • Community college diploma in purchasing or enrollment in/completion of PMAC; and/or
  • Minimum 1 to 3 years in the automotive industry.
  • Excellent organizational and time management skills.
  • Demonstrated ability to accurately calculate, post, correct, and manage finances allocated to the supply of materials while operating within a budget.
  • Strong knowledge of payment regulations and fair credit practices.
  • Strong diplomatic, negotiation, and conflict resolution skills.
  • Excellent English communication skills (verbal and written).
  • Positive attitude.
  • Proficiency with database applications and administration systems, specifically Microsoft Office.
  • Ability to work effectively alone and prioritize.
  • Must be a highly motivated, service and team-oriented individual with an attention to detail.
  • Knowledge of CMS.
  • Ability to manage multiple projects.
  • Able to maintain confidential information.
  • Enthusiasm for challenge and new initiatives are prerequisites.
  • Detail oriented.
  • Good computer skills.
